WhatsApp marketing tool

WhatsApp has become one of the most powerful platforms for businesses to connect with their customers. Whether it’s for sending updates, handling customer service, or promoting new products, WhatsApp marketing has proven to be highly effective. With over 20 years of experience in helping businesses grow, Wonkrew understands the importance of choosing the right tool to leverage WhatsApp effectively. In this blog, we’ll share some key points on how to select the best WhatsApp marketing tool for your business.

Quick answer: If you want to run WhatsApp marketing at scale, choose a tool built on the official WhatsApp Business API (Meta also calls it the WhatsApp Business Platform). The free WhatsApp Business app is fine for a small shop replying by hand, and unofficial bulk-sending tools can get your number banned. Compare API tools on four things: total cost (the tool’s fee plus Meta’s per-message charges), automation and chatbot features, integrations with your store or CRM, and support.

WhatsApp Business App vs WhatsApp Business API

Every WhatsApp marketing tool sits on one of these two. Knowing the difference saves you from picking the wrong kind of tool.

How to Choose the Best WhatsApp Marketing Tool for Your Business Needs

With so many options available, how do you choose the best WhatsApp marketing software for your needs? Let’s break it down.

1. Understand Your Business Needs

The first step in choosing the right WhatsApp software is understanding your business needs and setting targets for your WhatsApp marketing. Are you a small business looking to send simple updates, or are you a large enterprise needing to handle bulk messaging and customer support?

If you’re mainly focused on sending promotional messages to a large number of customers, bulk WhatsApp marketing software would be ideal. On the other hand, if you need a tool that can automate responses or integrate with your CRM, you might need more advanced features like a WhatsApp automation tool.

2. Look for Easy Integration

One of the major benefits of WhatsApp tools is their ability to integrate with your existing systems. Look for a WhatsApp marketing tool that seamlessly integrates with your sales platforms or customer service tools. This will make it easier to manage contacts, track engagement, and optimise your marketing strategies.

Many WhatsApp marketing software options offer integrations with popular platforms like Shopify, WordPress, and Google Sheets. This can save you time and effort, especially if you’re running a busy e-commerce store.

3. Check for Automation Features

Time is money, and automation can help save both. A good WhatsApp marketing software should have automation features that allow you to send messages based on triggers such as customer behaviour or specific times. For example, you can set up a welcome message for new customers or send reminders to users who’ve left items in their shopping carts.

A WhatsApp automation tool can make your marketing efforts more efficient and allow you to stay connected with customers even when you’re not available. This can be particularly useful for customer support, helping you answer queries instantly and improving customer satisfaction.

4. Bulk Messaging Capabilities

If you’re looking to send messages to large numbers of customers, you’ll need bulk WhatsApp marketing software. These tools allow you to send personalised messages to hundreds or even thousands of contacts at once without the hassle of manually adding them to your contact list.

Some WhatsApp marketing tools allow you to send bulk WhatsApp messages without adding contacts to your phone. This feature is especially helpful if you want to maintain privacy or avoid cluttering your contacts list.

A word of caution: tools that send bulk messages from a regular WhatsApp number, outside the official API, break WhatsApp’s terms and are a common reason numbers get banned. Send campaigns through the API, only to customers who agreed to hear from you.

5. User-Friendly Tool

The tool you choose should be easy to use, even for someone who’s not tech-savvy. A WhatsApp marketing software with a user-friendly tool can save you time and make it easier to create campaigns, manage contacts, and track results. Most WhatsApp software providers offer dashboards that display key metrics, such as message open rates and customer engagement, making it easy to adjust your strategies accordingly.

6. Opt for Affordable Solutions

Not all WhatsApp tools are created equal, and the pricing can vary significantly. Some tools offer a WhatsApp marketing software free version with basic features, while others charge based on the number of users or messages sent. Before committing to any tool, consider your budget and the features that are most important to you.

For small businesses or those just starting with WhatsApp marketing, a free or affordable tool might be a good starting point. As your business grows, you can always upgrade to a more advanced solution that fits your needs.

7. Ensure Data Security

Security is a top priority when handling customer data. Make sure the WhatsApp marketing tool you choose complies with GDPR, DPDPA or other relevant data protection laws. Look for tools that offer secure messaging and data encryption to protect sensitive information.

Now that you know what to look for, here are a few popular WhatsApp marketing software options to consider:

Prices are as listed when this post was first published and change often, so check each provider’s website. On API-based tools, Meta’s per-message charges are billed on top of the tool’s fee.

These options cater to different business needs, so it’s important to pick one that aligns with your specific goals. Whether you’re a small business, eCommerce store, or enterprise, there’s a WhatsApp marketing software that suits your requirements and budget.

WhatsApp Business API Pricing in India

Your WhatsApp Business API bill has two parts: Meta’s charges for the messages you send, and your provider’s platform fee for the dashboard, chatbot builder and support. If you connect to Meta’s Cloud API directly with your own developers, you pay only Meta.

How Meta charges today:

  • Per message, not per conversation. Since 1 July 2025, Meta charges for each delivered template message. The rate depends on the template’s category and the customer’s country code.
  • Three paid categories. Marketing templates (offers, launches, reminders) cost the most. Utility templates (order and delivery updates) and authentication templates (one-time passwords) cost much less, and get cheaper at higher monthly volumes.
  • Replies are free. When a customer messages you, you can reply with normal messages at no charge for 24 hours. Utility templates sent inside that window are free too.
  • Ads can make it cheaper. When someone messages you from a Click to WhatsApp ad or your Facebook Page button and you reply within 24 hours, all your messages to them are free for 72 hours.
  • India specifics. Meta raised India’s marketing message rate from 1 January 2026, and is moving India-based accounts to rupee billing, with a deadline of 31 December 2026.
  • India rates (October 2026). Meta’s current rate card lists ₹0.8631 per marketing message and ₹0.1150 per utility or authentication message for Indian numbers. Utility and authentication get cheaper at higher monthly volumes. Businesses based outside India pay a higher authentication-international rate of ₹2.4971 to send one-time passwords to Indian numbers.

At those rates, one marketing message to 10,000 opted-in customers costs about ₹8,631 in Meta charges before taxes, while order updates to the same customers cost about ₹1,150. These are list rates from the rate card effective 1 July 2026. Meta updates its rates a few times a year, so check the current WhatsApp rate card for India before you budget. The cheapest way to grow is to get customers to message you first, through ads, QR codes and website buttons, then use utility messages for order updates and keep marketing sends to customers who opted in.

How to Set Up the WhatsApp Business API

  1. Choose your route: a WhatsApp provider with a ready dashboard (like the tools above), or Meta’s Cloud API directly if you have developers.
  2. Verify your business in your Meta Business Portfolio. You can start before verification, but it unlocks higher messaging limits.
  3. Pick the phone number customers will see. Use a dedicated number, or ask your provider whether your existing WhatsApp Business app number can be connected.
  4. Set your display name. Meta reviews it, so it should match your brand.
  5. Create message templates for marketing, order updates and one-time passwords, and get them approved by Meta.
  6. Collect opt-in before sending marketing messages, for example a checkbox at checkout, a website form or a customer messaging you from an ad.
  7. Connect your store or CRM and switch on automations: order confirmations, shipping updates, abandoned cart reminders, lead follow-up and a chatbot for common questions.
  8. Track results: delivery, read and reply rates, and the sales or leads each message brings. Watch your quality rating, since too many blocks or reports lower your sending limits.
